GIZ Turkmenistan Hiring: Project Assistant for EU Green Policy & Climate Action Project
GIZ Service Office Turkmenistan would like to announce a new vacant position in the capacity of Project Assistant - EU for a green Turkmenistan: Policy Dialogue and Climate Action 2024 - 2028 (full-time employment).
EU for a Green Turkmenistan Project: „Policy Dialogue and Climate Action 2024-2028“ - is part of and contributes to the Team Europe Initiative on Water, Energy and Climate Change in Central Asia, which is an EU Global Gateway flagship initiative. The Global Gateway is the EU’s contribution to narrowing the global investment gap worldwide.
Main tasks:
Office Management
- Management of incoming and outcoming correspondences, including internal
- Reception of visitors;
- Procurement of office materials and other small procurement up to 1000 Euro.
Technical project support
- Assists in preparing data collection instruments (questionnaires, interview guidelines);
- Participates and organizes internal and external meetings/workshops on the fieldwork process or other project activities and assists in documenting these;
- Assists with M&E materials collection and documentation;
- Assists with PR materials preparation and collection for the project like providing draft inputs, preparing photos from events, collecting data (figures e,g,) necessary for PR, etc.
- Assisting with partner communications through drafting/translating and verbal contact
Organizational, logistic and admin assistance tasks
- Formatting documentation (vouchers, invoices, receipts, accounting documentations etc.);
- Assistance in processing travel expense statements of staff and partners for approval by the superior, processing tickets;
- Assisting to project staff in organizing events, meetings, workshops and seminars (internal and external);
- Preparing and providing equipment etc. required for meetings in consultation with the team;
- Assisting in arranging accommodation, transfers for project staff, experts, visitors;
- Ensures visa support for project staff members and partners;
- Procuring tickets for business trips for project staff;
- Assisting with the preparation of contracts with local experts, vendors (e.g. hotels, catering, consulting companies) within set value limits;
- Maintains the inventory list in the required software for the project in line with the GIZ regulations;
- Assisting with the preparation of other administrative documentation;
- Copying and scanning of financial documents as needed.

- Keeping information confidential
- Interpretation and translation (written and verbal)
- Where appropriate and reasonable, the position holder performs other duties and tasks upon the request of their management.
Required qualifications, competences and experience:
Qualifications
- University degree (BSc/BA) in social and human sciences, economics, law, international relations or similar area.
Professional experience
- At least 2-years of overall professional experience;
- Experience in organizational project support
- Experience in processing and formatting documentation;
- Experience of interaction with external clients and/or state agencies is a strong asset
- Experience in written and verbal translation is an asset;
- Experience of working with international programmes is an asset
Other knowledge, additional competences
- ability to express oneself well both verbally and in written in English, Turkmen and Russian; polished, target-group oriented style; German would be an asset
- very good working knowledge of ITC technologies (related software, phone, email, the internet) and computer applications (e.g. MS Office)
- strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community
- ability to adapt easily to new situations and to work under stress
- Good self-management and organizational skills;
- Reliability, punctuality.
- University degree in a job-related field;
- 5 years of professional experience in the field of administrative assistance, finance support and translation;
- knowledge of GIZ admin and finance rules would be an asset;
- ability to express oneself well both verbally and in written in English, Turkmen and Russian; polished, target-group oriented style; German would be an asset;
- very good working knowledge of ITC technologies (related software, phone, email, the internet) and computer applications (e.g. MS Office);
- strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community;
- ability to adapt easily to new situations and to work under stress.
