Basic Function of Position:
The Community Liaison Office Administrative Assistant (CLO Administrative Assistant) provides administrative support to the Community Liaison Office. The CLO Administrative Assistant works under the supervision of the CLO Coordinator and collaborates with the entirety of the CLO staff (CLO Coordinator and Assistant CLO Coordinator) to support the office in successful programming under all eight Areas of Responsibility (family member employment; crisis management and security; education; communications and outreach; guidance and referral; welcoming, orientation, and departures; community liaison; and events planning), to develop and maintain key contacts, and to manage information that benefits the morale and welfare of the entire Mission.
Community Liaison and Customer Service
- Assists CLO and CLO clients in pursuing local information and resources pertaining to CLO’s eight Areas of Responsibility. Works with the Local Employee Association/FSN Association to enable joint post events, in order to promote high post morale.
- Provides local travel insights and information on local culture to post community. Maintains and develops a wide range of connections with travel agencies, vendors, and hotels.
- Develops, produces, and updates pre-arrival and post-arrival information for CLO clients, prepares Welcome packets, and TDY Welcome Packets.
- Supports the CLO Coordinator in addressing the needs of post’s ICASS-contributing clients (Direct Hires and EFMs).
Events Planning
- Provides assistance with planning of morale-enhancing community events by coordinating logistics, procuring supplies, etc.
- Plans, in the near and long term, to effectively use community resources. Supports CLO Coordinator in implementing programs -for all segments of Mission population- that introduce local culture, maintain familiar American traditions, and respond to needs expressed by post’s community.
- Provides advice and logistical support when coordinating with contractors, travel companies, other sections of the Mission, and submitting requests related to events planning. Assists the CLO at offsite events, including orientation trips, daytrips, tours, recreational activities, etc.
Information Gathering and Supply Management
- Provides daily support through phone, email, virtual and face-to-face interaction under the 8 Areas of CLO Responsibility. Gathers information and drafts content for CLO newsletter/website (as applicable). Researches, collects, and consolidates local information that is useful to post community. Maintains information on local service providers (including local businesses, vendors, etc.).
- Regularly reviews CLO SharePoint page and -with supervisor’s concurrence- updates that need to be made. Maintains office supplies, organizes and replenishes office materials, such as local maps, talking cards, brochures, books, AV material, aimed at all demographics at post community (children and adults).
- Keeps current inventory of CLO supplies and assists with purchase orders of ICASS-funded items.
Data Management and Reporting
- Maintains information on local and international schools of interest to post community, adult education opportunities, childcare, volunteer opportunities, and local organizations.
- Collects and organizes data for CLO reports: Overseas Child Care Report, Post Info To Go, FAMER, CLO Activity Report, and the School Summary Report.
- Keeps records of receipts, income, and expenditure of unofficial CLO funds.
