IOM Turkmenistan searches for Logistic/IT Assistant

Position title: Logistic/IT Assistant
Position grade: UG
Duty station: Ashgabat, TURKMENISTAN
Responsibilities and Accountabilities
- Contribute to planning of the activities and compiling IOM’s calendar of events under specified projects.
- Communicate with vendors and prepare draft documents under the specified projects, including contracts, invoices, etc., to facilitate the implementation of the activities.
- Assist in organizing activities under the specified projects, including seminars, workshops, field trips, etc. communicating and coordinating with all relevant parties involved.
- Assist project personnel and national/ international consultants to arrange travel within and outside Turkmenistan; more specifically support in development of itinerary, ticket booking/purchasing, arrangement of hotel reservation/apartment, and transportation.
- Prepare requests for payments, vendor forms and ensure timely and accurate submission for all programmatic areas including for travels and activities.
- Assist in project procurement, including researching and preparing specifications, announcing tenders, collecting bids, analyzing bids, contracting the identified provider, purchasing and delivering of the goods.
- On-board new users and supporting IOM staff with day-to-day IT support ensure competency to access and use of IT system.
- Assist in maintaining optimal performance of the IT equipment, supporting the computer-based network.
- Diagnose equipment problems; liaise with the supervisor regarding repair or replacement.
- To follow and supervise the installation of new IT equipment.
- Responds to users’ needs by providing trouble shooting and help desk assistance to all staff members in the project office connected to the network system.
- Conduct regular back up of File servers and Email servers.
- Set up and maintain share folder to upload key documents and information of the projects.
- Ensure the AntiVirus Software is updated on the servers and workstation.
- Solve problems regarding operating systems
- Support all relevant administrative and logistical matters.
- Perform any other duties as may be assigned
Required Qualifications and Experience
Education:
- High school diploma or equivalent.
- Technical diploma in IT, telecommunication, or electronic technologies is an asset.
Experience:
- At least 2 years of working experience in network administration and use of hardware/software, telecommunications facilities, PC hardware troubleshooting, and knowledge of database packages
- At least two years of experience in project management/assisting in project management.
- Experience in the field of procurement at international organization is advantage
Skills:
- Understanding of issues pertaining to international relations, UN system, migration and development.
- Exceptional organizational skills, excellent planning, and follow-up skills.
- Ability to document and write various types of reports in English and Russian (donor reports, minutes of meetings, protocols, press-releases).
- Good communications skills and sensitivity to the context.
- Understanding of UN principles of procurement and contracting.
- Effectively applies knowledge of relevant Procurement Guidelines
- Knowledge of network administration and usege of hardware/software, telecommunications facilities, PC hardware troubleshooting, and knowledge of database packages
Languages: Fluency in English and Turkmen
