Required Qualifications and Experience
Education:
- Secondary vocational education or higher education.
Experience:
- At least five years of experience in organizing events, exhibitions, fairs, forums, trainings, coordination meetings or similar activities.
- Experience in logistics coordination, venue preparation, liaison with service providers and quality control of services provided.
- Experience working with government institutions, international organizations, public associations, local communities or development projects will be an advantage.
Skills:
- Strong organizational, communication, coordination and reporting skills.
Languages
- Fluency in Russian and Turkmen; knowledge of English will be an advantage.
- Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
Tasks to be performed under this contract
Under the supervision of the IOM Project Manager in Turkmenistan, the Consultant will be responsible for planning, organizational preparation, logistical coordination and support for the crafts fair and coordination meeting, including liaison with participants, partners and service providers.
The scope of work includes, but is not limited to, the following:
a) Planning and preparation of the events
- develop a plan for the preparation and implementation of the fair and coordination meeting;
- coordinate preparations of the venue for the event;
- organize participants’ registration;
- prepare the layout for exhibition tables, product presentation areas, the coordination meeting and networking sessions;
b) Logistics arrangements and coordination with contractors
- coordinate the work of conference service providers, catering, audio and video equipment providers, venue decoration, photo and video services, as well as other contractors engaged for the events;
- monitor the quality and timeliness of services provided by contractors;
- promptly address organizational and logistical issues during the preparation and implementation of the events;
c) Coordination of participants and partners
- liaise with women beneficiaries to ensure their participation in the fair, including providing information on the event format and organizational requirements;
- coordinate the participation of representatives of government authorities, including sending invitations, confirming participation and providing organizational support;
- liaise with representatives of the business community to facilitate the establishment of business contacts and cooperation with fair participants;
- coordinate the participation of representatives of partner organizations, public associations and other stakeholders;
- liaise with media representatives, including informing them about the event and providing organizational support to media representatives during the event;
- organize the work of volunteers and allocate their responsibilities;
- provide accompaniment and support to participants and guests during the events;
d) Organizational support for the event programme
- provide organizational support for the demonstration and presentation of products made by fair participants;
- coordinate the coordination meeting, thematic discussions and networking session in accordance with the approved programme;
- provide organizational support to invited speakers, the moderator and participants;
e) Preparation of reporting and supporting materials
- prepare a final report on the implementation of the events, describing completed tasks, achieved results and key conclusions;
- provide information on the number of participants;
- prepare and submit a complete package of reporting documentation in accordance with IOM requirements.
Performance indicators for the evaluation of results
- The organizational plan, event programme and preparation schedule are agreed with IOM within the established timeframe.
- The venue, exhibition area, registration desk, signage and required materials are prepared in accordance with the agreed plan.
- Coordination of participants, partners, volunteers and service providers is ensured in a timely and effective manner.
- The fair and coordination meeting are conducted in accordance with the agreed programme, schedule and IOM requirements.
- The final report and supporting materials are submitted in full and within the established deadline.
